New Process for Membership Applications: What Instructors Need to Know
Authored by: IPMBA Headquarters
As IPMBA continues to enhance member services and streamline administrative processes, we’ve introduced a new membership application process designed to make registration and payment easier for both instructors and students.
Out with the old, in with the online!
The Old ITK Membership Application is Gone: A New Era for Membership Applications
For years, the membership application included in the Instructor Toolkit (ITK) was the standard way to enroll new IPMBA members. That process has now been retired in favor of a faster, more efficient online system.
Effective immediately, the ITK membership application should no longer be distributed or used for new memberships. Applications submitted using the old form cannot be processed and will need to be resubmitted through the new online platform.
The good news? The new system makes the process easier for everyone. Instructors and students can now create memberships directly in the IPMBA database, streamlining enrollment and eliminating the need for manual data entry. By allowing information to be entered directly into the system, memberships can be processed more quickly, reducing delays and helping students get connected to IPMBA sooner.
Easier Payment Options for New Members
Gone are the days of submitting paperwork and waiting for memberships to work their way through the system.
When a new membership application is submitted, an invoice is automatically generated and includes a built-in QuickPay link for convenient online payment by credit card. This allows students to complete their memberships quickly without waiting for manual processing.
Instructors should empower class participants to create their own account in the member portal and guide them to generate their own membership and certification order by navigating to members.ipmba.org/become-a-member. Once they create the membership order, they must select the ‘Bill me’ payment option at checkout to generate the order and QuickPay link for payment either by the instructor or their department head.
In order for a class participant to be able to create their own certification order, they will need to know their class details, including their score on the class exam. Instructors should send each class participant a summary of their attendance including: Course location, Course dates, Instructor name, and score on the exam.
Now, new members can get connected to IPMBA faster while reducing the administrative burden on instructors.
Managing Memberships for Department Training Programs
For agencies that regularly host IPMBA courses, the new system also offers a more efficient way to handle group payments.
Departments may designate an instructor or training coordinator as an Account Head. This role provides visibility into all outstanding invoices associated with the department, including invoices generated from new class registrations and membership renewals. In order for the department Account Head to be able to pay for membership or certification orders, the course participant must be related to the organization in the system. They can do this during account sign up.
Rather than entering payment information for each individual student, departments can process multiple invoices through a streamlined bulk-payment workflow. Organizations interested in using this option should contact IPMBA Headquarters to obtain billing administrator access for their department account.
Detailed instructions and screenshots are available in the IPMBA Department Billing Contact Guide.
Why This Change Matters
The move to online membership applications is part of IPMBA’s ongoing commitment to improving efficiency for instructors, students, and agencies. By eliminating outdated paper forms, simplifying payments, and providing departments with better billing tools, the new process allows instructors to focus on what they do best—delivering high-quality IPMBA training.
